Terms of Service

These Terms of Service ("Terms") govern your access to and use of Candidoor, operated by Candidoor Inc. ("Candidoor", "we", "us", or "our"), a federally incorporated company under the laws of Canada. By accessing or using Candidoor you agree to be bound by these Terms. If you do not agree, do not use the platform.

Candidoor is available at candidoor.ca and related subdomains. These Terms apply to all users — candidates, employers, recruiters, and visitors — regardless of the country from which they access the platform.

1. Who we are

Candidoor Inc. is a technology company incorporated under the Canada Business Corporations Act. Our registered office is located in Ontario, Canada. We operate a platform that collects, aggregates, and publishes anonymized candidate interview process data to promote transparency in hiring.

Candidoor is not an employment agency, staffing firm, job board, or recruiter. We do not facilitate job placements, represent candidates to employers, or act as an intermediary in any hiring transaction.

2. Eligibility and account registration

You must be at least 18 years of age to use Candidoor. By registering an account you represent that you meet this requirement. Candidoor is intended primarily for users in Canada. Users outside Canada may access the platform but are responsible for ensuring their use complies with applicable local laws.

You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account. You must notify us immediately at legal@candidoor.ca if you suspect unauthorized access to your account.

You may not create multiple accounts, impersonate another person, or register an account on behalf of a company you are not authorized to represent.

3. Candidate accounts

Candidoor is free for candidates and will remain free. We do not charge candidates for account creation, thread submission, or access to prep reports.

By submitting a thread you represent and warrant that:

  • ·You personally participated in the interview process you are describing
  • ·The information you submit is accurate to the best of your knowledge
  • ·Your submission does not contain the name, personal information, or identifying details of any individual interviewer or hiring manager
  • ·Your submission does not disclose confidential information, trade secrets, or proprietary materials belonging to any company
  • ·Your submission does not constitute harassment, discrimination, or targeted attacks against any individual

By submitting content to Candidoor, you grant Candidoor a perpetual, irrevocable, worldwide, royalty-free licence to use, aggregate, anonymize, and publish that content in accordance with these Terms and our Privacy Policy.

You agree to indemnify, defend, and hold harmless Candidoor Inc. and its officers, directors, and employees from any claims, damages, losses, or expenses (including reasonable legal fees) arising from your submission, including claims by third parties that your submission is false, misleading, defamatory, or in violation of any third party's rights.

4. Employer accounts

Employer accounts provide access to aggregate anonymized data about your company's hiring process as reported by candidates. By registering an employer account you represent and warrant that:

  • ·You are an authorized representative of the company you are registering
  • ·You have authority to bind that company to these Terms
  • ·The company you are registering is a legitimate operating business

Misrepresentation of your identity or authority to represent a company is a material breach of these Terms and may result in immediate account termination and referral to appropriate legal authorities.

Employer accounts may not be used to attempt to identify individual candidates, to retaliate against employees or job seekers, or for any purpose that would constitute discrimination under applicable human rights legislation including the Canadian Human Rights Act and applicable provincial codes.

Individual candidate feeds are permanently inaccessible to employer accounts at the database level. This is an architectural constraint, not a policy. Employer accounts access aggregate data only.

Employer subscriptions are subject to the pricing and payment terms in effect at the time of subscription. We reserve the right to change pricing with 30 days written notice. Subscriptions cancelled before the end of a billing period are not refunded for the remaining period. Annual subscriptions are non-refundable after the first 30 days.

5. Recruiter accounts

Recruiter accounts are available to independent recruiters and staffing agency professionals only. By registering a recruiter account you represent that you are a professional recruiter or staffing professional acting in that capacity.

Recruiter accounts may not be used to:

  • ·Make hiring decisions about individual candidates based on aggregate company data
  • ·Profile, score, or rank job seekers using Candidoor data
  • ·Access competitor intelligence for purposes unrelated to candidate preparation
  • ·Scrape, download, or systematically extract platform data
  • ·Share access credentials with non-subscribers

Violation of recruiter use restrictions is a material breach of these Terms and will result in immediate account termination without refund.

6. Platform data and accuracy

All data published on Candidoor is self-reported by anonymous candidates and reflects individual experiences only. Candidoor does not verify the accuracy of submissions. Data represents aggregated candidate sentiment and is not a factual assessment of any company's hiring practices, culture, or quality as an employer.

Candidoor makes no representations or warranties regarding the accuracy, completeness, or reliability of any data published on the platform. Users rely on platform data at their own risk.

Company names, logos, and trademarks displayed on Candidoor are the property of their respective owners and are used solely for identification purposes. Candidoor is not affiliated with, endorsed by, or sponsored by any company listed on the platform.

7. Prohibited conduct

You may not use Candidoor to:

  • ·Submit false, fabricated, or materially misleading information about any company or hiring process
  • ·Attempt to identify, deanonymize, or expose the identity of any candidate
  • ·Harass, threaten, or intimidate any individual or organization
  • ·Violate any applicable law or regulation
  • ·Attempt to gain unauthorized access to the platform or its systems
  • ·Use automated tools to scrape or extract data from the platform
  • ·Circumvent any security or access control measures
  • ·Submit content that infringes the intellectual property rights of any third party
  • ·Use the platform for any commercial purpose not expressly authorized by these Terms

8. Content moderation

Candidoor reserves the right to review, edit, withhold, or remove any submission that violates these Terms or our Acceptable Use Policy. We are not obligated to review all submissions before publication but will act on reports of violations promptly.

To report a submission you believe violates these Terms, contact us at legal@candidoor.ca with the company name and a description of the concern. We will review all reports within 30 business days.

Candidoor does not remove data solely on the basis of a company's request or legal threat. Removal requires a demonstrated violation of these Terms, a court order from a Canadian court of competent jurisdiction, or a determination by a relevant regulatory authority.

9. Intellectual property

The Candidoor platform, including its design, software, aggregation methodology, and all original content created by Candidoor, is the intellectual property of Candidoor Inc. and is protected by Canadian and international copyright, trademark, and other intellectual property laws.

You may not reproduce, distribute, modify, or create derivative works from any Candidoor content without our express written permission. The Candidoor name, logo, and brand assets are trademarks of Candidoor Inc.

10. Disclaimer of warranties and limitation of liability

THE CANDIDOOR PLATFORM IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EITHER EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, ACCURACY, OR NON-INFRINGEMENT.

TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, CANDIDOOR INC. AND ITS OFFICERS, DIRECTORS, EMPLOYEES, AND AGENTS SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES ARISING FROM YOUR USE OF OR INABILITY TO USE THE PLATFORM, EVEN IF ADVISED OF THE POSSIBILITY OF SUCH DAMAGES.

TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, CANDIDOOR'S TOTAL LIABILITY TO YOU FOR ANY CLAIM ARISING FROM OR RELATED TO THESE TERMS OR YOUR USE OF THE PLATFORM SHALL NOT EXCEED THE GREATER OF (A) $100 CAD OR (B) THE TOTAL AMOUNT YOU PAID TO CANDIDOOR IN THE 12 MONTHS PRECEDING THE CLAIM.

Some jurisdictions do not allow the exclusion or limitation of certain warranties or liabilities. In such jurisdictions our liability is limited to the maximum extent permitted by law.

11. Indemnification

You agree to indemnify, defend, and hold harmless Candidoor Inc., its affiliates, officers, directors, employees, agents, and licensors from and against any claims, liabilities, damages, losses, costs, and expenses (including reasonable legal fees) arising out of or in any way connected with:

  • ·Your access to or use of the platform
  • ·Your violation of these Terms
  • ·Any content you submit to the platform
  • ·Your violation of any third party right, including privacy, intellectual property, or defamation
  • ·Any claim that your submission caused damage to a third party

12. International users

Candidoor is operated from Canada and is intended primarily for Canadian users. If you access the platform from outside Canada, you do so at your own initiative and are responsible for compliance with applicable local laws.

European Union and UK users (GDPR / UK GDPR)

If you are located in the European Economic Area or the United Kingdom, you have additional rights under the General Data Protection Regulation or UK GDPR, including the right to access, correct, delete, restrict, and port your personal data. Candidoor acts as a data controller for account data and a data processor for anonymized submission data. For GDPR requests contact privacy@candidoor.ca. We will respond within 30 days. If you are unsatisfied with our response you have the right to lodge a complaint with your local supervisory authority.

California users (CCPA / CPRA)

If you are a California resident, you have rights under the California Consumer Privacy Act including the right to know what personal information we collect, the right to delete your personal information, and the right to opt out of the sale of your personal information. Candidoor does not sell personal information. To exercise your CCPA rights contact privacy@candidoor.ca.

Brazilian users (LGPD)

If you are located in Brazil, you have rights under the Lei Geral de Proteção de Dados including the right to access, correct, delete, and port your personal data. Contact privacy@candidoor.ca to exercise these rights.

Australian users (Privacy Act)

If you are located in Australia, we handle your personal information in accordance with the Australian Privacy Act 1988 and the Australian Privacy Principles. You have the right to access and correct your personal information. Contact privacy@candidoor.ca for requests.

South African users (POPIA)

If you are located in South Africa, we process your personal information in accordance with the Protection of Personal Information Act 4 of 2013. You have the right to access, correct, and delete your personal information. Contact privacy@candidoor.ca for requests.

Singapore users (PDPA)

If you are located in Singapore, we handle your personal data in accordance with the Personal Data Protection Act 2012. You have the right to access and correct your personal data. Contact privacy@candidoor.ca for requests.

Indian users (DPDP Act)

If you are located in India, we process your personal data in accordance with the Digital Personal Data Protection Act 2023. You have the right to access, correct, and erase your personal data. Contact privacy@candidoor.ca for requests.

Japanese users (APPI)

If you are located in Japan, we handle your personal information in accordance with the Act on the Protection of Personal Information. Contact privacy@candidoor.ca for requests regarding your personal information.

13. Dispute resolution

Before initiating any legal action against Candidoor, you agree to attempt to resolve the dispute informally by contacting us at legal@candidoor.ca with a written description of the dispute and the relief you are seeking. We will respond within 30 days. If the dispute is not resolved within 60 days of your initial notice, either party may proceed with formal legal action.

These Terms and any disputes arising from them are governed exclusively by the laws of the Province of Ontario and the federal laws of Canada applicable therein, without regard to conflict of law principles. You agree to submit to the exclusive jurisdiction of the courts of Ontario, Canada for any dispute that cannot be resolved informally.

Notwithstanding the foregoing, users in jurisdictions where mandatory consumer protection laws require disputes to be resolved locally may have additional rights under those laws.

14. Account termination

You may delete your account at any time from your account settings page. Upon deletion, your account data will be permanently removed from our systems within 30 days, subject to legal retention requirements. Anonymized aggregate submission data may be retained as it is not linked to your identity.

Candidoor reserves the right to suspend or terminate any account that violates these Terms, with or without notice. In the event of termination for cause, prepaid subscription fees are non-refundable. In the event of termination by Candidoor without cause, we will provide a pro-rated refund of prepaid fees.

15. Changes to these Terms

We may update these Terms from time to time. We will notify registered users of material changes by email at least 14 days before the changes take effect. Your continued use of the platform after the effective date constitutes acceptance of the updated Terms. If you do not agree to the updated Terms you must delete your account before the effective date.
